The Assistant to the Dean of Technical Education and Workforce Development provides comprehensive administrative and operational support for the division. This position coordinates daily office operations, supports budgeting and grant administration, maintains academic and workforce program records, and serves as a liaison among students, faculty, College departments, and business and industry partners.
The position exercises independent judgment, manages confidential information, and assists the Dean in ensuring compliance with federal, state, accrediting agency, and institutional policies and regulations related to technical education and workforce development programs.
Salary: Appropriate placement on the Alabama Community College System Salary Schedule E3: (Salary range: $39,759 - $62,710)

Start Date: March 2026
- Greet and assist students, visitors, and college personnel in a prompt and courteous manner and provide information as required.
- Maintain faculty records, employment forms, and contact information for all Technical Education and Workforce Development personnel.
- Enter purchase requests, communicating PO updates with faculty and staff, and process purchase orders with invoices through the accounting system.
- Order standardized tests each semester for credentialing exams for the Technical Education and Workforce Development programs; including but not limited to end of program/semester credentialing exams such as NOCTI, NIMS, etc.
- Prepare/maintain quarterly accounting balance spreadsheets for division program budgets.
- Type letters, memos, reports, and other correspondence as needed.
- Distribute mail to appropriate departments.
- Maintain room schedules for assigned buildings and reserve rooms for division events/meetings, as requested.
- Contribute to department cohesiveness.
- Take, transcribe, and distribute minutes for meetings as needed.
- Maintain appropriate work hours.
- Participate in college functions and committees as requested.
- Enter and maintain class schedules each semester or as needed for both credit and non-credit courses.
- Perform meeting and event preparation and setup.
- Prepare purchase orders and maintain records and grant files for federal Perkins grants and other grants obtained by the Division.
- Coordinate and process travel for faculty and staff.
- Maintain inventory records for Perkins federal inventory.
- Assist with the coordination of student enrollment for all programs.
- Assist with maintenance and annual updates to the WIOA eligible provider training list.
- Communicate with both students and outside stakeholders to further the effectiveness of the division.
- Update instructional handbook, catalog, and other division materials as needed.
- Maintain the filing system for the office, filing correspondence and other documents according to established rules of records management.
- Manage monthly time sheet submittals for part-time Division employees.
- Create documents/reportsas directed.
- Maintain the calendars and the dean of technical education and workforce development schedule.
- Maintain the office supply closet for the faculty and staff of the Division, ordering supplies as necessary.
- Maintain list of keys for assigned rooms and buildings.
- Contact copier/printer service supplier for maintenance issues and toner and ink cartridge orders.
- Assist in maintaining division web pages,
- Maintain course evaluations for the division
- Prepare reports as assigned by the Dean.
- Assist with special assignments such ascollege events and grants when appropriate.
- Perform other duties as requestedby the supervisor.
- Create and edit grant support letters, reference letters, job descriptions, and interview questions.
MINIMUM QUALIFICATIONS
- Bachelor’s degree from an accredited institution is required.
- Three (3) years of clerical experience is required.
- Ability to communicate effectively is required.
- Proficient in the use of Microsoft Office is required.
PREFERRED QUALIFICATIONS
Experience working in postsecondary education is preferred.
